Abstract:
This study explores the implementation of Orux, an AI-powered software designed to automate data extraction from financial documents at an accounting firm in Paraguay. It follows the transition from traditional, manual processes to an automated, efficient system and evaluates the subsequent impacts on process efficiency, error rate, compliance, and strategic resource allocation. The primary objective was to assess the efficacy of Orux in improving the speed and accuracy of data processing within accounting operations. The firms historical data processing capacity was limited to 145,000 documents per year with a significant labor input and associated error rate. With Orux, this capacity increased to over 700,000 documents annually, highlighting a monumental rise in process efficiency and a drastic reduction in human errors. Methodologically, there was a mixed-methods approach, integrating both quantitative and qualitative research to analyze Oruxs impact comprehensively. Data was collected through pre- and post-implementation reviews, which included metrics on processing times, error rates, and operational activities. Additionally, semi-structured interviews with key stakeholders were conducted to gather insights on changes following Oruxs integration, such as employee satisfaction and client feedback. The findings reveal that the document processing time was reduced from one year to approximately two and a half months for the same volume of documents. The error rate in document processing declined in the four years it has been implemented, ensuring higher accuracy and compliance with regulatory standards. Strategically, all this allowed for a reallocation of human resources from data entry tasks to more analytical and advisory roles, not only optimizing workforce efficiency but also enhancing job satisfaction among employees. This study serves as a reference for similar adaptations in the industry, providing valuable lessons on balancing technology integration with strategic business planning to optimize benefits and sustain long-term growth.
